Instructions:

Open Outlook and click on the File menu. Select Account Settings from the dropdown menu and then again click to select Account Settings. Click on New, click to select the Manually configure server settings or additional server types option, and then click on the Next button.

Under Choose Service, make sure that the Internet E-mail button is clicked and then hit the Next button. In the Internet E-mail Settings window, enter your name and email address in the respective fields under the User Information heading. Under the Server Information heading, select POP3 from the Account Type drop down menu, and enter incoming and outgoing mail server details in the respective fields.

Under the Logon Information heading, enter your email address in the User Name field and password in the Password field. Make sure that you check the Remember password checkbox. This will save you from the hassle of typing your password every time you log in to Outlook.

Click on the More Settings button and select the Outgoing Server tab. Click to select the box next to My outgoing server (SMTP) requires authentication and also select the button next to Use same settings as my incoming mail server.

Click on the Advanced tab (on the same window), enter the Incoming server (POP3) port number and check the box next to This server requires an encrypted connection (SSL).

Similarly type the port number for Outgoing server (SMTP) and select SSL from the dropdown menu next to Use the following type of encrypted connection. Select from the options like Server Time outs and Leave a copy of messages on the server.

Click on the OK button and then hit the Test Account Settings button to test the configured email account. If it returns with a successful message, then click on OK and then Next and then the Finish button to exit all the windows. If you get an error message, then click on the Back button to go back and recheck all the settings. If they are incorrect, correct them and proceed by clicking on the Next and at last the Finish button.

Additional Tips:

Contact your ISP (Internet Service Provider) for the incoming and outgoing server information. Check out incoming and outgoing server information for common Gmail, Hotmail, Yahoo! mail and Yahoo! Mail Plus etc. accounts. For Gmail, incoming and outgoing (SMTP) servers respectively are 'pop.gmail.com' and 'smtp.gmail.com'. For Hotmail, incoming and outgoing servers are 'pop3.live.com' and 'smtp.live.com' respectively. For Yahoo Mail Plus, these are 'plus.pop.mail.yahoo.com' and 'plus.smtp.mail.yahoo.com'.
