Seven Essential MS Project Shortcut Keys You Must Know When Using Microsoft Project

Microsoft Project is the number one tool to have when it comes to project management. It is the one tool that every project manager should have in their bag of tricks to ensure that their project will run on time and on budget. To be truly able to utilise Microsoft Project effectively and efficiently there are Seven Essential MS Project Shortcut Keys that all project managers should know.

Essential MS Project Shortcut Keys Number 1 -

MICROSOFT SECURITY

The first MS Project shortcut keys you must know is the [Enter] keystroke. You use this shortcut keystroke to accept the data entered into a cell in a task or a resource. For example if you are working in the Gantt Table and entering a new task name, before the task name is accepted you must select the [Enter] key.

Essential MS Project Shortcut Keys Number 2 -

Sometimes you will find that the value you have just entered into a cell was not correct. If you want to cancel what you have typed into a cell you simply use the MS Project shortcut key - [Esc] (the Escape key). The escape key is located in the top left hand corner of your keyboard.

Essential MS Project Shortcut Keys Number 3 -

To be able to change the cells of a task you must first activate the cell so just like in Microsoft Excel we have a shortcut keystroke that allows you to that, the shortcut is [F2]

Essential MS Project Shortcut Keys Number 4 -

Sometimes you will find that you need to insert a task whilst you are developing a new project plan. To insert a new task using just your shortcut keystrokes, press the [Ins] key. This key may also be shown as the [Insert] Key.

Essential MS Project Shortcut Keys Number 5 -

There are many pieces of information that you can enter in Microsoft Project simply using the Gantt table but in some situations there are simply some pieces of information that can only be entered into the Task Information dialog box or the Resource Information dialog box. To open the Task Information dialog box or the Resource Information dialog box using the shortcut keystroke - [Shift] + [F2]

Essential MS Project Shortcut Keys Number 6 -

To link tasks in Microsoft Project you must first select the two tasks you want to link and then you can use the shortcut - [Ctrl] + [F2]. Sometimes you will also want to unlink a task, simply select the tasks you wish to unlink and then press - [Ctrl] + [Shift] + [F2]

Essential MS Project Shortcut Keys Number 7 -

To use MS Office Project to its full potential you really need to assign resources to tasks. To achieve this you can bring up the Assign Resources dialog box by using the MS Project Shortcut Key - [Alt] + [F10]

1. Accept Data Entered Into A Cell- [Enter]

2. Cancelling Data Entered Into A Cell - [Esc]

3. Insert New Task - [Ins]

4. Activate the Entry Area - [F2]

5. Open the Task Information Dialog Box - [Shift] + [F2]

6. Assign Resources - [Alt] + [F10]

7. Link Tasks - [Ctrl] + [F2] & Unlink Tasks - [Ctrl] + [Shift] + [F2]

20 Must-Know Shortcut Keys in Microsoft Excel

Want to know how to navigate, select, format and perform other simple functions in Microsoft Excel quickly and efficiently? Here are some must-know shortcut keys to improve your productivity...

NAVIGATING IN EXCEL

MICROSOFT SECURITY

1. Go to end of work area

Ctrl + End

This shortcut will move your active cell to the bottom right corner of your data.

2. Go to start of work area

Ctrl + Home

This shortcut will move your active cell to the top left corner of your data. This will usually be cell A1, unless you have turned on Freeze Panes, in which case this shortcut will take you to the top left cell of the unfrozen section of your data.

3. Go to previous screen above

Pg Up

This shortcut key will move your active cell up one screen at a time, remaining in the same column.

4. Go to next screen below

Pg Dn

This shortcut key will move your active cell down one screen at a time, remaining in the same column

SELECTING DATA

5. Select multiple individual cells (or ranges of cells)

Ctrl + Click

Holding down the Ctrl key whilst selecting cells (or ranges of cells) allows you to select multiple, non-adjacent cells at the same time.

6. Select a large range of cells

Click + Shift + Click

To select a large range (rectangular area of adjacent cells) click in the cell in the top left corner of the area to select, hold down the Shift key, then click in the cell in the bottom right corner of the area to select.

7. Select the whole spreadsheet

Ctrl + A

This shortcut key will select the entire spreadsheet. Alternatively click on the button to the left of column header A.

8. Select a range of cells

Ctrl + *

This shortcut key selects the current range of cells i.e. a rectangular area of cells with no adjacent data. Note: Use the * key on the number pad of your keyboard. If you do not have a number pad then you will need to use the shortcut Ctrl + Shift + 8. FORMATTING

9. Format data in active cell(s) as Bold

Ctrl + B

10. Format data in active cell(s) as Italic

Ctrl + I

11. Format data in active cell(s) as Underlined

Ctrl +U OTHER SHORTCUTS

12. Create a new line within a cell

Alt + Enter

Using Alt and Enter will create a new line in a cell, just like creating a new line in a document. If you are using Excel 2007 or later version, you will be able to expand the formula bar to view multiple lines in a cell.
13. Open a new workbook

Ctrl + N

14. Open an existing workbook

Ctrl + O

15. Save current workbook

Ctrl + S

16. Print worksheet

Ctrl + P

17. Undo last action

Ctrl + Z

18. Copy selected cells

Ctrl + C

This shortcut key selects cells for copying. The second step is to select where to copy this data to (Paste).

19. Move selected cells

Ctrl + X

This shortcut key selects cells for moving (Cut). The second step is to select where to move this data to (Paste).

20. Paste selected cells

Ctrl + V
